QuickBooks automation
The checking around your ledger, run on a schedule. It reads QuickBooks and reports. It does not move money.
What Claritty does with QuickBooks
Claritty connects to QuickBooks Online through a one-click sign-in and reads what is already there: your bills, and your vendor credits. From that it can tell you which bills are still owing, which one arrived twice under two numbers, which is large enough to want a second pair of eyes, where the money went by vendor, and which vendor credits you never applied. Each of those is an automation you start once and then it runs weekly or every morning.
It reads. Every write in every one of these is an email or a Slack message telling you what it found, and there is no QuickBooks write capability behind any of them. If what you need is a system that captures invoices, routes approvals and pays vendors, that is the AP automation category and there are good products in it. This is the layer that checks.
Connecting is one click: Claritty runs the whole QuickBooks sign-in and holds the credential server-side, so no key is ever pasted into an automation.
QuickBooks automations you can start now
Every one of these needs QuickBooks. Connect it once and they all use it.
Chase the bills nobody has paid
Reads your QuickBooks bills every Monday and emails you a round-up of the ones still carrying a balance.
Flag the bills big enough to need a second pair of eyes
Checks QuickBooks each morning and posts any bill over 5,000 to a Slack channel. Ask in chat to change the number.
Find the vendor credits you never used
Lists QuickBooks vendor credits with a balance left on them and emails you the ones still worth claiming.
See where the money went this month
Groups your QuickBooks bills by vendor once a month and emails you a short read on where spend concentrated.
Spot the bill you are about to pay twice
Reads your QuickBooks bills weekly and flags any that look like the same invoice entered more than once.
There are more, and the whole library covers every department. If none of them is your job, describe the one you have and Claritty builds that instead.
Questions people ask
Does it need QuickBooks Online or does Desktop work?
Online. The connection is the QuickBooks Online API, signed in once with a click rather than a pasted key. Desktop is not connected today.
Can it pay a bill or change my books?
No, and not as a setting you could switch on by accident. None of these automations has a QuickBooks write capability at all. They read, and they send you the result by email or to Slack. Nothing you have to undo.
What does it need besides QuickBooks?
Somewhere to send the answer, which is Gmail or Slack depending on the automation. You connect each once and every automation that needs it reuses the connection.
Will it work on a ledger that is already messy?
That is generally the point. Duplicates, unapplied credits and bills that quietly went past due are what accumulate in a ledger nobody has time to comb through, and they are the first things these look for.
